Case study: about 250 hours a year of data entry, automated

A Utah fiber contractor had one person spend about one hour every working day moving job information from a spreadsheet into a website, then emailing the completed jobs. That work now runs without a person.

The task before

The task had two parts. First, a person read job information from an Excel sheet and submitted staking information to a website, one job at a time. Second, the same person collected the completed jobs and sent them by email.

Nothing about it was hard. It was the same steps every working day, and it took about one hour each time.

What we built

  1. Read the sheet

The automation opens the Excel sheet and reads the job information.

  2. Submit to the website

It submits the staking information for each job to the website.

  3. Collect the completed jobs

It gathers the jobs that are finished.

  4. Send the email

It emails the completed jobs to the people who need them.

How long it took, and when it paid back

We spent about 6 hours building and fine-tuning the automation.

The task had been using about one hour a day. In about 6 working days, the old process used as many hours as the whole build took. After that, the time comes back every day.

If your office has a task like this

The pattern is a spreadsheet, a website that wants the same information, and a person in between. The right method depends on the website.
