Automation consultant, DIY tool, freelancer or new hire?
Repeated office work can be handled four ways: automate it yourself with a tool, pay a freelancer for one build, bring in an automation consultant, or hire another person to do it. The right choice depends on the task, not on the technology.
The four options, compared
| Option | Fits when | Watch for |
|---|---|---|
| DIY tool Zapier, Make, Power Automate | Both systems have a connector, the data is clean, and someone on your team will own the flow. | The flow stops and nobody notices, or the one person who built it leaves. |
| Freelancer | One task, clearly described, that will not change much. | Who repairs it later. Ask before the work starts. |
| Automation consultant | The website has no connector, the task has exceptions, a wrong entry is costly, or you are not sure which tasks to automate. | Advice with no build. Ask to see a result with numbers. |
| Another hire | The work needs a person's judgment every time. | The repeated task still takes the same hours. You have moved it, not removed it. |
Questions to ask before you hire anyone
- Will you watch the task being done before you quote?
- What happens when the website changes its layout?
- Does the automation stop and tell a person when something fails?
- Who can change it later, and what does that take?
- Can you show a result with numbers from work you built?
Our answers: we watch the task in the first meeting. Our automations stop and report a problem and do not enter bad data. We stay available for changes after we hand the system over. Our results are on this site with their numbers.
How to decide in ten minutes
Write the task down
List the steps. If you cannot list them, the task is not ready for any of the four options.
Count the hours
Minutes a day, times days a year, divided by 60.
Check for a connector
If both systems have one and the data is clean, try a DIY tool first.
Price a mistake
If a wrong entry costs money or a customer, have someone build it who will also maintain it.
Common questions
Should I hire an automation consultant or use Zapier myself?
Use a tool such as Zapier yourself when both systems have a connector, the data is clean, and someone on your team will keep the flow running. Bring in a consultant when the website has no connector, the task has exceptions, or a wrong entry is costly.
What is the difference between a freelancer and an automation consultant?
A freelancer usually builds the one thing you describe. A consultant first looks at how the work is done and tells you which tasks are worth automating, then builds them. Either can be the right choice. Ask both who maintains the work afterwards.
Is it better to hire another employee?
Hire a person when the work needs judgment every time. If the work is the same steps repeated, a new hire still spends the same hours on it.
What should I ask an automation company before hiring them?
Ask if they will watch the task before quoting, what happens when the website changes, how the automation reports a failure, who can change it later, and to see a result with numbers.
