Power Automate yourself, or hire someone?

Use Power Automate yourself when the task is simple and both systems have a connector. Hire a builder when the website has no connector, the rows have exceptions, or a wrong entry costs money.

Do it yourself when

Both systems connect

Power Automate has a connector for the spreadsheet and for the place the data goes.

The data is clean

Every row has the same columns, filled in the same way.

A mistake is easy to undo

You would see a wrong entry quickly and could correct it.

Someone owns it

A person on your team will keep the flow running and fix it when it stops.

Hire a builder when

The website has no connector

The data goes into a portal that needs a login and several screens.

Rows have exceptions

Some records need a different path, and a person decides which.

A wrong entry is costly

An error costs money, a customer or a compliance problem.

It must run every day

The task cannot wait for the one person who understands the flow.

What Power Automate is

Power Automate is Microsoft's automation tool. Cloud flows connect services that have a connector, such as Excel, Outlook and SharePoint. Desktop flows click through the screens on a Windows computer the way a person does.

Desktop flows are where many do-it-yourself projects stop. They depend on a computer that stays on and signed in, and they break when the website moves a button.

The cost that is easy to miss

The tool is rarely the cost. The cost is the hours a person spends building the flow, then repairing it each time the website changes.

We build with connectors, APIs and browser automation, and we use the simplest one that does the job. When a plain flow is enough, we say so.

Common questions

Is Power Automate free?

Part of it is included with Microsoft 365 and with Windows. Premium connectors and flows that run without a person signed in need a paid plan. Check Microsoft's current pricing before you plan around it.

Can Power Automate fill in a web form from Excel?

Yes, with a desktop flow, which opens the browser and types into the form. It works for simple forms. It is fragile when the site needs a login, has several screens, or changes often.

What does a builder do that Power Automate does not?

A builder handles the exceptions, records every result, makes the automation stop and report when something changes, and repairs it when it breaks.

How do I know which one I need?

Show the task to someone who builds both. In a first meeting we watch the task and tell you if a simple flow will do.
